Adding and Using the OneNote App in Microsoft Teams
Microsoft Teams integrates directly with OneNote, allowing team members to create, access, and collaborate on digital notebooks without leaving the Teams app.
This is especially useful for: - Meeting notes - Project planning - Knowledge documentation - Shared checklists and brainstorming
Option 1: Adding OneNote as a Tab in a Channel
This method adds a shared OneNote notebook for all team members in a specific channel.
Step 1: Open the Channel
- Go to Teams and select the appropriate Team.
- Choose the Channel where you want to add OneNote.
Step 2: Add a New Tab
- At the top of the channel, click the
+
(plus) icon. Search for and select OneNote.
Step 3: Choose or Create a Notebook
You’ll be prompted to:
- Select an existing notebook already associated with the Team (e.g., “Team Notebook”), or
- Create a new notebook.
After selecting, click Save.
Step 4: Start Using OneNote
- The notebook tab will appear at the top of the channel.
All team members can view and edit the content in real time.
Option 2: Using OneNote in the Personal App View
This allows you to access all your OneNote notebooks (personal and shared) in one place.
Steps:
- In the left sidebar of Teams, click Apps or More added apps (
…
). - Search for OneNote and open it.
- You’ll see a list of recent notebooks and pages.
From here, you can:
- Open personal or shared notebooks
- Create new notebooks
- Search across notes
- Use OneNote without being tied to a single team or channel
You can also pin OneNote to your left-hand toolbar for quick access.
Using OneNote Effectively in Teams
- Create a section per topic, project, or meeting.
- Use pages to divide meeting agendas, notes, decisions, and action items.
- Use @mentions in comments to tag people (available in OneNote on web).
- OneNote saves automatically — no need to click save.
Accessing OneNote Outside Teams
You can access the same notebooks anytime from:
- https://onenote.com
- OneNote desktop or mobile app
- OneDrive or SharePo
